Privacy Policy

This policy explains what personal data Solvee processes, on what basis, and what rights you have. It is written to be read without a lawyer.

1. Who we are

Solvee is an AI-powered booking system for salons and service businesses. The service is provided by MB “Solvee”, company code 308095291, registered at Laisvės al. 34-39, LT-82121 Radviliškis, Lithuania.

For anything concerning data, write to info@solvee.lt. We answer requests within 30 days.

2. Our two distinct roles

This is the most important section, because it determines who to approach about your data.

In practice: if you are a salon's client and want your conversation deleted, contact the salon you visited. We will carry it out, but on the salon's instruction — we do not touch their data on our own initiative. If you are unsure who to contact, write to us and we will point you to them.

3. What data we process

Salon owner account: name, email address, sign-in identity, salon name, address, working hours, service list and prices, subscription status. Plan payments are taken by Stripe: it handles the card details itself, and Solvee never receives or stores them.

If you came through a link in one of our ads or posts, we record that link's campaign tags (UTM) and the first page of our site you visited with the salon account — so we know which campaigns bring salons. Nothing is stored in your browser.

Salon client data received through Messenger, Instagram, WhatsApp or the booking form: name, phone number, email address where given, chosen service, appointment time, visit history, no-show count, and the full content of the conversation with the assistant.

Free-text notes

The system has a free-text notes field. If a salon records health-related information there — an allergy to dye, sensitive skin — that is special category data under the GDPR and carries stricter protection. The salon is responsible for ensuring such information is only recorded with the client's explicit consent. We recommend not entering health data into this field.

Google Calendar. If a salon or a staff member connects their Google Calendar, Solvee uses the Google APIs only for what booking needs:

  • The list of calendars (names and access level) — so you can choose which calendar to use. We keep only the chosen calendar's identifier and name.
  • Permission to create, change and delete events — so visits booked in Solvee appear in your calendar. An event carries the service, the client's name, the visit notes and internal visit identifiers.

The Google access token is kept in encrypted storage. We do not sell data received from Google, use it for advertising or to train artificial intelligence models, or share it with anyone except as needed for this feature to work. Solvee's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can disconnect the calendar at any time in the dashboard's integrations or in your Google Account settings; disconnecting deletes the access token.

4. Artificial intelligence

So the booking assistant can reply, the text of a client's message is sent to an AI model, together with the salon's context: services, prices, working hours and, for a returning client, their name and a summary of previous visits.

The model provider does not use this data to train its models. The AI makes no decisions producing legal effects — it books appointments and answers questions, and hands more complex cases to salon staff.

5. Who we share data with

We do not sell data and do not use it for advertising. We rely on the following sub-processors, each seeing only what its function requires:

Transfers outside the European Economic Area rely on the European Commission's Standard Contractual Clauses. The primary database runs in the European Union.

Requests from public authorities. When a public authority asks us to disclose personal data, we first review its legal basis and whether it was made through the procedure the law requires. We disclose only the data the request specifically names, and nothing beyond it. We challenge a request that is unlawful or overly broad. Every such request and our response to it is recorded. Where the law permits, we inform the person whose data was requested.

6. How long we keep data

  • Conversations and appointment history — while the salon uses the service, and 90 days after the contract ends, then irreversibly deleted.
  • Salon owner account — while the account is active.
  • Accounting records — 10 years, as Lithuanian law requires.
  • Technical error logs — 30 days.

7. Your rights

You have the right to access your data, correct it, delete it, restrict its processing, receive it in a structured format, and object to processing. You may withdraw consent at any time.

Send requests to info@solvee.lt. If you believe your data is being handled improperly, you may complain to the Lithuanian State Data Protection Inspectorate (vdai.lrv.lt).

8. Security

  • Data is encrypted in transit and stored in the European Union.
  • Access tokens are held in encrypted storage, never in application code.
  • Only staff who need access to data have it.
  • Each salon sees only its own data, enforced at the database level.

9. Changes to this policy

Every revision carries a version date, shown at the foot of this page. We give at least 30 days' email notice of material changes, and we record which revision each user accepted.

Card data security

We never see or store card details. Payment is handled by Stripe, a payment provider certified to PCI DSS Level 1; the data travels over an encrypted TLS connection straight to them, and we only receive confirmation that a payment happened.

Payment processor

Stripe Payments Europe, Ltd. We collect only what running the subscription requires: company name, a contact email and payment status. Your clients' money never passes through us — they pay you directly for salon services, and we take no commission on bookings.

Currency

All prices are in euros (EUR) and include VAT. If your card account is in another currency, your bank converts the amount at its own rate, so the sum charged may differ slightly from the one shown.

Cancellation and refunds

You can end your subscription at any time by writing to info@solvee.lt — the service runs until the end of the period you have paid for. The fee for an unused period is not refunded, except where our own fault leaves the service down for more than 24 hours in a row.
